Fulfillment for subscription boxes

A subscription box is a monthly launch. Five hundred identical kits have to be built, packed and handed to the carrier in a window of a day or two, and then the one-off shop orders keep coming the rest of the month. We build the batch in advance in Miami, ship it on your date, and run your store orders from the same shelf.

What subscription brands need

A batch process inside a daily operation

Most warehouses are built for a steady stream of orders. A subscription business needs two modes: a batch build once a month and a normal daily queue for add-ons, gifts and shop orders. We schedule the build from your component list, stage the finished boxes as their own SKU, and release the orders on the day, so the batch never blocks the daily work.

  • Component receiving: every product, box, tissue and insert received with a count and photos the same business day.
  • Batch kitting in advance: boxes built from your list at $0.50 to $1 per unit placed, a sample photographed per batch.
  • Ship-date release: the month's orders are imported and shipped in a batch on the date you set, tracking pushed to your platform.
  • Variants and tiers: different box sizes, dietary options or size profiles handled as separate kit SKUs.
  • Inserts and personalization: cards, coupons and samples placed by rule at $0.15 per order.
  • Store orders all month: add-ons, gifts and one-off orders ship at $1.95 per order from the same inventory.

How it works

One month, start to finish

01

Week one: components arrive

Products and packaging for next month are received, counted and photographed as they land.

02

Week two: the build

We kit the batch, scan each component into the box, photograph a sample and stage the finished boxes as a kit SKU.

03

Ship date: release

Subscriber orders are imported from your platform and shipped in one batch, before the 2:00 PM cutoff, tracking synced.

04

All month: store orders

One-off orders, gift boxes and add-ons ship the same business day from the same inventory.

05

Month end: reconcile

Leftover components and finished boxes are counted so next month's list starts from real numbers.

What it costs

Kitting plus the normal order rates

The plan covers receiving, storage and platform. Building the box is per unit placed and shipping it is per order.

Growth plan: 30 inbound boxes, 1 pallet of storage, Marcana Flow + ShipHero$179 / month
Scale plan: 75 inbound boxes, 3 pallets of storage, Marcana Flow + ShipHero$349 / month

Additional item in an order$0.35 / item
Kitting, per unit placed in the box$0.50 to $1 / unit
Marketing insert, card or sample added at packing$0.15 / order
Heavy order handling, over 2 lb+$0.50 / order

A 500-subscriber box with five components on the Scale plan costs $349 for the plan, $1,250 to $2,500 to build, and $975 to ship, plus carrier rates. The pricing page lists every line and the kitting page explains the build process.

Why it matters

What breaks in subscription fulfillment, and how we prevent it

Missed ship dates

Building at the bench on ship day is how batches slip. Ours are built the week before and only released on the date.

Wrong contents

Components are scanned into each box during the build, so a missing item is caught in the batch, not in a subscriber's review.

Blocked daily orders

Batch work is scheduled outside the daily queue, so a shop order placed on ship day still leaves the same day.

Saul Ortiz, founder
A subscription box is the one product where the customer already paid before you built it. That changes the priority: the batch has to be done early and correct, and the only way to guarantee that is to build it before the ship date, not on it.
Questions

Questions from subscription box brands

Usually the week before the ship date, once all components have arrived. The build is scheduled with you each month and the finished boxes are staged as their own SKU until release.

Kitting is $0.50 to $1 per unit placed in the box, then $1.95 per order for pick, pack and mailer up to 2 lb and 2 items, plus carrier rates. A five-component box runs $2.50 to $5 to build plus $1.95 to ship.

Yes. Each variant, whether a size, a dietary option or a tier, is its own kit SKU with its own build list, so the right subscriber gets the right box.

Orders come in through your store integration, for example Shopify with a subscription app, or as a batch import on ship day. Tell us your platform at onboarding and we confirm the flow.

Yes. Add-ons, gift boxes and shop orders ship at $1.95 per order the same business day from the same inventory, all month.

They are counted at month end and stay in your inventory for the next build. Storage is covered by your plan's allowance, then $35 per pallet per month.

Make ship day a non-event.

Build your plan with published kitting and shipping rates, or send us next month's component list and we will schedule the build.
